About this role:
The Senior Administrative Assistant plays a critical role in supporting senior leadership and ensuring the smooth execution of day-to-day administrative and operational activities. Reporting directly to senior leadership, this individual will serve as a trusted partner, providing high-level administrative, travel, and coordination support across the organization.
This role is well suited to a highly organized, proactive professional who thrives in a fast-paced, dynamic environment and takes pride in being the “go-to” person for complex administrative needs. You will work closely with C-suite leaders and cross-functional stakeholders, contributing meaningfully to the operational effectiveness of the organization.
Key responsibilities include:
Drafting and formatting internal and external presentations, agendas, letters, and other business documentation
Managing multiple calendars and scheduling meetings, including organizing logistics and maintaining updates as priorities evolve
Preparing, tracking, and submitting expense reports, including compiling receipts, maintaining spreadsheets, liaising with payroll, and following up on approvals
Coordinating domestic and international travel for senior leadership and leadership teams, acting as the primary point of contact for flights, accommodations, itineraries, and travel-related inquiries
Maintaining organized digital filing systems for travel documentation, invoices, and administrative records within shared platforms
Ordering office, coffee, and tea supplies, maintaining inventory levels, and organizing supply storage areas
Distributing office supplies and ensuring common areas and supply stations are well stocked
Supporting onsite meetings and events, including setup, cleanup, and coordination of department gatherings
Monitoring company voicemail inboxes and routing messages to appropriate contacts or departments
Assisting internal committees (e.g., social, sustainability, diversity) as required
Providing administrative support to the legal function and other departments as needed
About the candidate:
The ideal candidate brings 5+ years of experience in a senior administrative, executive assistant, or office operations role within a professional, fast-paced environment. They are highly organized, detail-oriented, and comfortable managing multiple priorities with discretion and sound judgment.
They possess strong written and verbal communication skills and are highly proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint). Experience working with SharePoint, travel management platforms, expense reporting processes, and cross-functional teams is considered a strong asset.
This individual is a self-starter who takes ownership of their work, anticipates needs, and enjoys supporting leadership teams in a collaborative, purpose-driven organization.
This is an ‘on-site’ position and the successful candidate will work in the office 4-5 times/week. Svante’s office is located at 8800 Glenlyon Pkwy, Burnaby, BC.

This role comes with an hourly pay in the range of $35-40/hour. Although the positions starts off as a 4-month contract – with the opportunity to convert to a permanent role, based on business needs - the successful candidate will qualify for extended health and dental benefits starting from day one of employment.
